AI transaction coordination for residential real estate

The transaction coordinator that never misses a file.

Mooseworks watches every communication and document on a deal, answers routine requests, updates status as things arrive, and flags what needs a person. The whole file works toward a clean close, and your coordinators spend their day on judgment instead of relay.

Early access. Works alongside the CRM and transaction platform you already use.

The problem

Most of coordination is relay work.

A transaction coordinator spends the day moving information between people and systems: answering the same questions, updating a checklist when a document arrives, chasing a lender, noticing that something didn’t happen. It has to be done. It doesn’t have to be done by a person.

The same questions, every file

Closing date, earnest money, walkthrough time. The answer is in the file. Someone still has to stop and send it.

Status lives in six systems

The appraisal arrives by email, the signature through the e-sign platform, the lender update by text. A person reconciles them into one picture, by hand, every day.

Silence is the expensive failure

Checklists track what someone entered. They do not notice that the title commitment was promised eight days ago and hasn’t arrived.

How it works

Everything a coordinator would see, coordinated.

  1. 1

Connect what the coordinator already watches

Email, texts, the e-signature platform, calendar, and the other systems a transaction runs on. Mooseworks reads what arrives in each of them and ties every message and document to the right people and the right transaction.

Anything it can’t place with confidence goes to a short review queue instead of being guessed.

  2. 2

    It does the coordination

A buyer asks for the closing date: the answer is sent. The appraisal comes in: the file’s status updates and the next step is queued. The inspection report arrives with issues: it is flagged for someone to follow up on, with the report attached.

Deadlines come from the contract and are computed by a deterministic date engine, never estimated by a model.

  3. 3

    People handle judgment, not paperwork

The review queue shows what actually needs a human: a decision, a match to confirm, a call. Everything routine has already been handled and logged, with the source it came from.

Nothing is left behind, and every file is visibly working toward a clean close.

Product

Less coordination work, not fewer coordinators.

Mooseworks takes the automatable part of the job. What it can answer, it answers. What it can update, it updates. What needs a person, it hands over with the evidence attached.

Routine requests

Questions answered before anyone has to look them up

“What’s our closing date?” “Has the earnest money been received?” “When is the walkthrough?” Mooseworks knows the answer from the file and responds, so the coordinator isn’t the lookup service.

Status from events

The file updates itself as things arrive

Appraisal received, title commitment issued, loan cleared to close, signatures completed. Each notification, from whatever system it comes from, moves the transaction forward and triggers what comes next.

Exceptions to a person

Problems are flagged to a person, not missed

An inspection report with issues, an appraisal under contract price, a lender who has gone quiet. Mooseworks flags it for the right person with the evidence attached.

One knowledge base

Everything a coordinator would know, in one place

Every integration feeds the same record of the transaction: who the contacts are, what has happened, what was agreed, and what is due. Nothing depends on one person remembering to check one system.

Deadlines you can trust

Contract dates are computed, never guessed

The model reads what the contract says: the anchor event and the duration. A deterministic, tested date engine turns that into the deadline using the right day-count convention and holiday calendar. A confidently wrong contingency date is worse than none, so the model never produces one.

Evidence on everything

“Why does it think that?” always has an answer

Every status change, date, and reply points back to the message or document it came from. When something changes, the old version is kept and the new one supersedes it.

Before the contract, too

One record from first conversation to closing

Coordination usually starts when a file is opened. Mooseworks keeps the record of the conversation with a prospect before that, and the same record carries through to closing, so nothing is lost at the moment the deal becomes real.

The review queue

What needs a human, across every file

One queue across all active transactions: messages it could not place, facts that conflict, and changes waiting on a yes. Routine work isn’t on it, because it has already been done.

Where it fits

Not a CRM. Not transaction management.

Those tools store information a person puts in. Mooseworks does the work between them: reading what arrives in every channel, acting on it, and keeping the file moving. It runs alongside whichever ones you already have.

Who it’s for

Built for the people who carry the file.

Designed alongside a working residential broker and the coordinators who keep his transactions moving.

The transaction coordinator

Carries more files with the relay work gone. Opens the day to a list of decisions and exceptions, not a list of things to look up and forward.

The high-volume agent

Wants to talk to clients and sell property. Everything between those two things happens without them until a decision is required.

The team or brokerage

One workspace, every transaction, every contact. Status and open items visible to whoever needs them, with the evidence behind each one.

Trust

Built to be checked.

A tool that confidently reports the wrong contingency date has negative value. Every design choice below exists so you can verify what the system believes and what it did.

Routine is automatic, judgment is human

Factual, routine work is handled. Anything that changes the deal or needs a decision is flagged to a person. Every action, either way, is logged.

Evidence and history on every claim

Each status change, date, reply, and check-in item points to its source message or document and the model version that produced it. Changes supersede; nothing is silently overwritten.

Your workspace is yours

Every record is scoped to your workspace and isolated at the database level. Every state change is written to an audit log in the same transaction.

FAQ

Questions we get asked.

Does this replace transaction coordinators?

No. It removes the part of the job that can be automated: looking things up, relaying status, chasing routine documents, updating checklists. Coordinators keep the judgment, the relationships, and the problems. A coordinator with Mooseworks handles far more files with less of the day spent on relay work.

What does it connect to?

The communications and systems a coordinator already works from: email and text messages, the e-signature and transaction platform, calendar, and lender, title, and inspection communications that arrive through those channels. We build every integration ourselves and add them over time; the record of the transaction is the same no matter how many are connected.

What does it do on its own, and what waits for a person?

Routine, factual work is handled: answering a question the file already answers, updating status when a document or notification arrives, flagging it for a person when something needs attention. Anything involving judgment, negotiation, or a change to the deal is flagged for a person. Every action, automatic or approved, is logged with the evidence behind it.

How does it calculate contract deadlines?

The language model only identifies the anchor event (for example, acceptance) and the duration the contract states. A separate, deterministic date engine computes the actual date using the day-count rules and holiday calendar that apply. The model never outputs a date.

What happens when it can’t tell which transaction something belongs to?

It doesn’t guess. The message or document goes to a review queue where you assign it in one click. Those decisions are kept and improve matching over time.

Is this a CRM or a transaction management platform?

Neither. A CRM owns contacts and lead generation. Transaction management software owns documents, e-signature, and compliance checklists. Mooseworks does the coordination between all of them, and works alongside whichever ones you use.

How do I get access?

Mooseworks is in early access with a small number of agents, teams, and coordinators. It is not open for sign-ups yet.
